1040-DR - Desktop | Third Party Designee Setup

Third-Party Designee on Form 1040

The Third-Party Designee section on Form 1040, Page 2 lets the taxpayer authorize someone else to speak with the IRS about their return.
You can set this up globally for all returns or per return using an override.
If a designee is not selected, the form defaults to No.

Global Setup for All Returns

  1. Go to Setup > Options > Optional Items on Return.

  2. Select an option from the Third party designee dropdown.

Available Options

  1. None: No designee by default.

  2. Preparer 1–9: Select one of the first nine preparers created in Setup > Preparers and Users.

  3. Return Preparer: Uses the preparer assigned to the return.

  4. ERO: Uses the default ERO from Setup > Options > EF.

Requirements for Global Designee

  1. The selected preparer must have a 5-digit PIN entered under Setup > Preparers and Users.

  2. A phone number must be entered in Setup > Firms.

  3. If using Return Preparer or ERO, those roles must also meet the PIN requirement.

Override Settings Per Return

Use the PREP screen to override the global setting.

To Add a Designee

  1. Set Allow another person to discuss this return with IRS to Y.

  2. Enter:

    • First name

    • Last name

    • Phone number

    • 5-digit PIN

    • Email (optional)

Missing required fields will trigger EF Messages 0767 and 5933.

To Remove a Designee

  1. Set Allow another person to discuss this return with IRS to N.

If set to Y without full information, the return will block e-file and override global settings without showing a designee.

Important Notes

  1. In single-user versions of 1040-DR, access to the PREP screen may be limited.

  2. Recalculate the return after changes to clear EF messages.
