How to Create a Preparer in 1040-SR Desktop

This article explains how to add a preparer, set login access, and manage security settings in 1040-SR Desktop.

Add a New Preparer

  1. Open 1040-SR Desktop on the main computer.

  2. From the Quick Menu, select Configuration.

  3. Select #1 Firm / ERO / Preparer Setup.

  4. Select #3 Preparer's Menu.

  5. Select New.

Enter Preparer Information

  • Preparer Code: Use a unique number not used by any other preparer.

  • First Name / Last Name: Enter legal name.

  • Username: This is the login name for the preparer.

Note: The preparer creates their own password at first login.

  • PTIN: Enter the preparer’s PTIN from Salesforce.

Set Security Level

  1. Go to Configuration > #1 Firm / ERO / Preparer Setup > #3 Preparer's Menu.

  2. Select the preparer.

  3. Select #15 Preparer Security.

Security Options

  • Super User (#3): Full access.

  • Unlimited: Same as admin and can create returns.
    Used only for EROs when requested.

Restrict E-file Access

If the preparer should not be allowed to e-file:

  1. Select #14 E-File Menu Security.

  2. Set #2 Transmit Electronic Returns to No.

Preparer First-Time Login

  1. Log out of the software.

  2. Preparer enters their username and selects Login.

  3. They will be prompted to:

    • Create a password.

    • Set a security question and answer.

This setup is required only once.

Reset a Forgot Password

  1. Go to Configuration.

  2. Select #1 Firm / ERO / Preparer Setup.

  3. Select #3 Preparer's Menu.

  4. Choose the preparer.

  5. Select #2 Password / Security Question to reset.
